The privacy notice is valid from 25th May 2018. We keep our privacy notice under regular review.

How we use your information

This privacy notice tells you what to expect when Lips CIC (also referred to as Lips) collects your personal information. It applies to information we collect about:

  • People who visit our website

  • People who make a purchase via our website

  • People who email us

  • People who attend events we organise

  • People who sign up for our waiting list

  • People who are members of our choir

This privacy notice does not apply to businesses or organisations.

Under the General Data Protection Regulation, individuals have the right to make a request for information, rectification, erasure, restriction, transfer, and/or object to the processing of their data. If this concerns you, please see more information about your rights and how to use them below.

People who visit our website

We use a third-party service, Squarespace, to host our website www.lipschoir.co.uk.

We have recordings from You Tube and Soundcloud hosted on our website. We can monitor these sources to see when people have listened or watched one of our performances.

Squarespace uses cookies to save browsing preferences and to optimise users’ browsing experience. You can read more about how we use cookies in their cookies policy.

This privacy notice does not cover the links within this site linking to other websites. We encourage you to read the privacy statements on the other websites you visit.

People who make a purchase through our website

We only collect personal data that is necessary for processing your order. We will keep data for up to 6 months after the date of purchase in order to address any supply issues.

We may email you with messages about your order or account activity. For example, we may email you to tell you that:

  • You’ve made a purchase

  • Your order has shipped

It’s not possible to unsubscribe from these messages.

We share your contact information with Squarespace, our website hosting provider, so they can send these emails to you on our behalf.

People who email us

We use a third party provider, Gmail, for our email services. You can find more information about their privacy policy and systems here.

We will also monitor any emails sent to us, including file attachments, for viruses or malicious software.

People who attend events we organise

Lips offers certain services to the public, such as Lips performances.

Sometimes we use an external provider to sell tickets to these events (such as brown paper tickets). When using a third-party provider like this, please consult their privacy policy).

Sometimes we may organise something ourselves. We have to hold the details of the people who have requested the service in order to provide it. However, we only use these details to provide the service the person has requested and for other closely related purposes. For example, we might use information about people who have signed up to attend a ‘try-a-choir event’ to contact them to find out how they found the event, or to suggest other choir events they might enjoy. It will not be disclosed, shared for any other purpose, or shared with any other third-party organisations.

When people do subscribe to our services, they can cancel their subscription at any time by emailing we.are.lips@gmail.com.

People who sign up for our waiting list

We use Google Drive to save lists of people awaiting a place in our choir. This Google sheet is password protected and is only accessed by directors of Lips.

Given that our waiting list is very long, details will be held for a number of years. We store your email address, name, and the date which you joined the waiting list.

Periodically, we may ask for demographic information of people on our waiting list. This is provided only if someone wants to provide this. This is stored securely on Surveymonkey for a short period (whilst we analysis the profile of our waiting list) and then all data is deleted from Surveymonkey. Only members of the board of directors of Lips have access to the Survey monkey account.

People who are members of Lips

We use Google drive and Surveymonkey to store data about the people who are in our membership.

In google drive, we store these people’s email addresses and phone numbers, which people have consented to provide us. We may circulate these to others in the choir, but only with people’s prior permission.

We use Survey monkey to collect data on our choir members’ demographics. This data is downloaded and deleted from Surveymonkey, anonymised and analysed, then kept securely in our Google drive to inform strategic decision making.

We never share our members’ personal details with other organisations.

Access to your data

Under the General Data Protection Regulation, individuals have the right to make a request for information, rectification, erasure, restriction, transfer, and/or object to the processing of their data. Find out more about your rights on the Information Commissioner’s Office website.

A request for any of the above can be done verbally or in writing by emailing we.are.lips@gmail.com. In order to fulfil the request we must be able to verify your identity and may ask for further details about you and your contact with Lips. We will respond to a request within one calendar month of receiving it, free of charge. However, if the request is complex or there are numerous requests we may extend this deadline by a further two months and/or charge a fee, we will notify you if this is the case and explain why.

Complaints or queries

Lips CIC aims to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention by emailing us at we.are.lips@gmail.com if it is considered that our collection or use of information is unfair, misleading, or inappropriate.
